Your resume lists the phones, the filing and the software, and the office manager has seen that list forty times this week. What gets a second look is proof that you know this kind of office and can show a number from your own desk.
The seven letters below cover an applicant with no office job yet, a retail changer, and experienced admins in medical, legal, school, senior university and remote settings. After them: opening lines for other roles, what hiring managers want, how to write each part, help without office experience, a template and common mistakes.
| If you are... | Start with | What it proves |
|---|---|---|
| New to office work or leaving retail | Entry-level and retail letters | Speed, accuracy and cash or phone work that already looks like office work |
| In a clinic or law firm | Medical and legal letters | You know the system, the privacy rules and the deadlines |
| In a school or university | School office and senior university letters | Seasonal volume, family or faculty service and budget handling |
| Working remotely | Remote letter | Reliable work across time zones with little supervision |
Entry-Level Administrative Assistant Cover Letter Examples
Each example below is a full administrative assistant cover letter you can adapt.
Entry-Level Administrative Assistant Cover Letter Example (No Office Job Yet)
Dear Ms. Castellanos,
I'm applying for the administrative assistant position at Brackenridge Property Management. I finished my associate degree in business administration at Harlow Point Community College in May and hold the Microsoft Office Specialist Excel Associate certification.
On a six-week temp assignment, I entered 1,400 vendor invoices into a tracking spreadsheet and had two corrections in review. I checked each batch against the paper totals before saving. I also type 68 words per minute on timed tests at 98% accuracy, and I answered about 25 calls a day while volunteering at a parish office.
Your posting mentions tenant calls and lease paperwork, which is the same mix of phones and records I've been doing.
I'd be glad to take a typing or Excel test at your office this week.
Thank you,
Priyanka Venkataraman
Why it works:
- An office manager screening a first-time applicant looks for proof of speed and accuracy, and this letter gives both as numbers in the second paragraph.
- The temp and volunteer work are described with volumes and a checking method, so they read like a paid role.
Retail to Administrative Assistant Cover Letter Example
Dear Alderwick Dental Group Hiring Team,
When our registers froze on a holiday weekend, I rebuilt the day's cash count by hand from 212 receipts and finished within eleven dollars of the system total. I did that kind of reconciliation for eight years as an assistant store manager at a home goods retailer, and I'm now applying for the administrative assistant role at your practice.
Each week I built the schedule for 22 associates, placed vendor orders from an Excel inventory sheet, and handled the store's phone and email. After I added a second-person sign-off to our cash-office count, average weekly variance fell from $48 to under $10 over one quarter.
Your office coordinates dentists, hygienists and a steady stream of patient calls. I'm used to a full day of phones, shifting coverage and money that has to match.
My district manager watched the scheduling work firsthand and has offered to serve as a reference.
Warm regards,
Dmitri Alvarenga
Why it works:
- Retail applicants are often screened out as "retail only," so the letter renames the duties in office terms: cash-office reconciliation, weekly schedules, vendor orders, phones and email.
- The variance drop comes with its cause, a second sign-off, which shows a process fix rather than a claim. If you're making this move, the guide to writing a resume for a new field shows the same reframing on the resume side.
Administrative Assistant Cover Letter Examples for Experienced Admins
These five letters come from offices where the work is counted in check-ins, filings, packets and reconciliations, so each one leans on its own system and its own number.
Medical Office Administrative Assistant Cover Letter Example
Dear Ms. Ostrowski,
Seven years at a five-provider family clinic, HIPAA trained, working daily in athenahealth: that is the experience I'm offering for the medical office assistant opening at Copperline Family Medicine.
At my current clinic I check in about 70 patients a day and verify insurance for every scheduled visit the afternoon before. When I noticed that most no-shows came from patients who had never confirmed, I began calling anyone unconfirmed 48 hours out. Our no-show rate fell from 14% to 8% over a year, and I still track it every week. I also handle prior authorizations for imaging referrals and keep patient information on a need-to-know basis.
Your posting mentions a growing pediatric panel. I've scheduled well-child visits around school calendars and know how quickly a Monday fills up.
If it helps, I can spend a morning at your front desk before any interview and see how your check-in flows.
Kind regards,
Odalys Brennan-Reyes
Why it works:
- A practice administrator scans for the clinic size, the system and HIPAA in the first sentence. This letter puts all three there, so the reader doesn't hunt for them.
- The no-show figure comes with its cause and its fix, a 48-hour confirmation call. That makes 14% to 8% read as something the writer did.
Legal Administrative Assistant Cover Letter Example
Dear Mr. Brannigan,
The Penrose & Lund posting asks for someone to own court calendaring and e-filing, which has been my job for ten years at a six-attorney litigation firm. I am also a commissioned notary.
I keep one master calendar in Clio. Every rule-based deadline goes in with two internal reminders, at 14 days and 3 days out, and each one is checked against the court's rules before it is accepted. In ten years, no filing has been missed. Documents signed before 3 p.m. are e-filed the same day, and I send the confirmation to the attorney within the hour.
I also enter time for four attorneys, about 120 billing entries a week, and flag vague descriptions before month-end invoices go to clients. Client files, settlement figures and witness names stay inside the matter team, and I have handled sealed filings under court-ordered access limits.
When a hearing date moves, I rebuild every dependent deadline the same afternoon and tell the whole team what changed. Your posting mentions trial preparation, and I have assembled exhibit binders and service lists for six jury trials.
I can share a redacted copy of my deadline tracker, so you can judge the method before we speak.
Respectfully,
Nkechi Adebayo
Why it works:
- Litigation partners care most about deadlines, so the letter answers in the first paragraph and then shows the mechanism: two reminders, a rules check and a same-day filing cutoff.
- Ten years with no missed filing is credible because the process is described. The offer of a redacted tracker lets the reader verify it.
School Office Administrative Assistant Cover Letter Example
Dear Principal Thorsby,
Sunbrook Elementary's promise that every family hears from the front office in a language it understands is one I've kept for twelve years at a school of 520 students.
Each summer I process roughly 140 enrollment packets in PowerSchool, check immunization and emergency contact records against the district list, and call every family whose paperwork is incomplete. During the school year I make the morning attendance calls by 9:30 and log each reason, so the nurse and counselor see patterns early. When a substitute is late, I know which teacher can cover a first period and which classroom needs a second adult.
I know the front office is the first room a nervous parent enters. I try to make it the easiest one.
I am free to start before summer registration opens and would be glad to help train whoever covers the desk until then.
With gratitude,
Catalina Ibarra
P.S. I interpret in Spanish at registration night and have translated our enrollment packet for the past six years.
Why it works:
- Principals read for fit with their families, so the letter opens on the school's own promise and backs it with twelve years and 520 students.
- The packet count, the 9:30 attendance cutoff and the Spanish P.S. all describe a front-office day that a principal can picture.
Senior Administrative Assistant Cover Letter Example (University Department)
Dear Dr. Rutherford,
Purchasing card reconciliation in our 45-person department dropped from nine days to three after I moved receipt collection to a weekly cycle. I am a CAP-certified senior administrative assistant with eighteen years in university departments, and I would like to bring that work to Geosciences at Alderbrook State.
My current role covers a $950,000 operating budget in Workday, expense reports in Concur, and purchasing for the labs and two teaching spaces. I supervise six student workers, writing their schedules and training each cohort on the same checklist. I also prepare the paperwork for faculty searches, from posting requests to offer letters, and keep the file complete for the dean's audit.
The weekly cycle began with one faculty member's complaint and became a rule everyone follows. Each August I also run a short orientation for new faculty on travel approvals, so fewer reimbursements stall in the fall.
I would like to show you the procurement tracker I built, and I can bring a blank copy to an interview.
Best regards,
Philippa Nakamura, CAP
Why it works:
- A department chair wants someone who can run budgets without supervision. The reconciliation drop leads, and the budget size, systems and staff supervised follow in the next paragraph.
- Naming CAP in the opening lets the reader see the credential right away. The administrative assistant resume guide shows how to carry the same certification and system list onto the resume.
Remote Administrative Assistant Cover Letter Example
Hello Tamsin,
Fieldnote's team spans seven time zones and posts its meeting notes before anyone has to ask. After fifteen years in offices and three as a remote administrator, that is the way I already work.
Right now I support three clients for 10 to 15 hours each a week, handling about 90 requests every week across Google Workspace, Slack and Asana. Most arrive overnight for me. I answer within two hours during each client's business day, and anything that needs a decision goes into a short end-of-day summary, so nobody wakes up to a mystery. Calendar conflicts across Lagos, London and Denver are fixed before they reach the invite.
I invoice as a contractor and I'm comfortable with a client who wants a weekly review of hours.
Rather than ask you to take my word for it, I would propose a paid trial week on a real backlog.
All the best,
Rutendo Chikwanha
Why it works:
- Remote hiring leads check for experience working alone across time zones. The letter proves it with a two-hour response window, a weekly request count across three clients and a daily summary habit.
- The paid trial week lowers the risk for a team that has never worked with the writer, and it matches the contractor setup described in the third paragraph.
Opening Lines for Other Administrative Roles
Borrow the shape, then swap in your own system and number.
- Receptionist: Forty calls and thirty walk-ins a day taught me to greet every visitor within two minutes, even mid-call.
- Construction project admin: Submittals, RFIs and lien waivers for four active jobsites crossed my desk last year, and none went out late.
- HR administrative assistant: Thirty-five new hires went through onboarding in BambooHR last year with every I-9 completed inside the three-business-day deadline.
- Nonprofit office admin: When our arts nonprofit's donor list outgrew a shared spreadsheet at 900 names, I rebuilt it in Airtable over one weekend.

What Hiring Managers Look For in an Administrative Assistant Cover Letter
Office managers, practice administrators, principals, department chairs and staffing recruiters read these letters against a stack of near-identical applications.
- A setting match. A dental office, a law firm and a school front desk run on different days. Say which one you know, and say it early.
- Volume you can picture. Calls per day, packets per summer or invoices per week tell a reader how busy your desk really was.
- Systems shown in use. Naming Clio, athenahealth or Workday beside the task you did in it counts for more than a software list.
- Accuracy with a method. A low error rate matters, but the check behind it matters more.
- Reliability and availability. Start dates, coverage hours and a clean attendance record answer a worry every office has.
The Bureau of Labor Statistics projects about 314,400 openings a year for secretaries and administrative assistants through 2035, all from replacing workers who transfer or leave, even though employment is projected to fall 2% (the BLS Occupational Outlook Handbook).
For you, that means offices keep hiring, usually against a crowd of applicants with the same title. The specific ones stand out: your setting, your volume and your method.
Administrative assistant jobs cluster in a few industries, and pay differs among them.

Healthcare hires most, so medical front-office experience travels. Government and professional services pay about $8,000 more but hire fewer, so name their systems, such as Workday or Clio.
How to Write an Administrative Assistant Cover Letter
Administrative Assistant Cover Letter Format
Use these seven parts, top to bottom:
- Your name, phone number, email and city
- The date
- A greeting with the reader's name
- The opening: your setting, years and one number
- The proof: one task you own, with volume and method
- The fit: why this office or school in particular
- The closing: a concrete offer and your availability
Aim for about 200 to 300 words, one page. Send it as a PDF whose file name carries your full name and the job title, for example Imani-Faulkner-Administrative-Assistant-Cover-Letter.pdf. Here is how the senior university department example looks on the page.
Greeting: Name the Person Who Runs the Desk
The reader is usually an office manager, practice administrator, principal or department chair. Check the staff page and the posting's contact line, and call the front desk if you must. If no name exists, address the team or the title.
Weak: "To Whom It May Concern,"
Strong: "Dear Dr. Ferrante," or "Dear Riverside Family Dental Hiring Team,"
Opening: Lead With Your Setting, Years and One Number
Within the first two sentences, give the type of office you work in, how long you have worked there and a figure. Here are five of the styles the letters above use, each with a fresh example:
- Direct application: "I'm applying for the front desk coordinator role at your orthodontic practice after six years running a four-chair office."
- Story: "The week our scheduling software crashed, I rebuilt 90 appointments from the paper backup before Monday."
- Credential-first: "Notary public, six years in property management, fluent in Yardi."
- Mission-values: "Your food bank's rule that no client waits more than ten minutes is the standard I already hold at my intake desk."
- Result-first: "Zero missed deadlines across 300 grant packets last year."
Weak: "I am a hardworking assistant with strong communication skills."
Strong: "Six years at a four-attorney immigration office taught me to track 80 open case deadlines in one shared calendar."
Proof Paragraph: Count the Work You Own
Pick one measure from your own desk:
- Calls answered per day
- Visitors or patients checked in per day
- Invoices or expense reports processed per week
- Deadlines tracked at once
- Budget dollars you reconcile
A number alone invites doubt. A number with the method behind it reads as something you did on purpose.
Weak: "I handle a high volume of invoices accurately."
Strong: "I code about 60 invoices a week and compare each to its purchase order before it goes to payment, which kept our returns under two a month."
Systems: Name the Tool Beside the Task
Show the software working, not sitting in a list. The O*NET profile for secretaries and administrative assistants lists Microsoft Office, Google Workspace and Outlook among common software skills, so most employers assume you know them. Spend your words on the workplace's own system instead, such as a practice management platform or a student information system.
Weak: "Proficient in Microsoft Office, Outlook and various databases."
Strong: "I keep our patient recall list in Excel with a filter for overdue visits, and I send the week's reminders from Outlook every Monday."
Coming From Retail, Hospitality or Customer Service
Your cash counts, schedules and guest calls already look like office work. Rename them in office terms, as the retail letter above does with reconciliation, vendor orders and weekly scheduling, and keep one figure and one fix.
Fit Paragraph: Research What the Office Cares About
Read a practice's website for its services and patient mix, a school's improvement plan for its priorities, a firm's practice areas page, or a department's news and faculty pages.
Save the posting before you write, because listings disappear. The Application Tracker in Upplai keeps each job description next to the letter you sent, even once the listing is gone.
Weak: "I would love to work for a company with such a great reputation."
Strong: "Your clinic added Saturday hours this spring, and I've covered weekend front desk shifts for three years."
Closing: Offer a Test, a Morning or a Sample
End with something the reader can accept in one reply. Offer a typing or Excel skills test, a morning observing the front desk, or a sample of a tracker you built. Add when you can start.
Weak: "I look forward to hearing from you at your earliest convenience."
Strong: "I can take a skills test at your office any weekday after 2 p.m., and I'm able to start in two weeks."
What to Write Without Administrative Experience
Office work shows up in many places besides a job title, so describe it with a paid assistant's specifics.
- Temp assignment: "Covered the front desk at a title company for eight weeks, answering about 45 calls a day and scanning closing packets into the shared drive."
- School or church office: "Volunteered 10 hours a week in my children's school office, mailing 300 newsletters and keeping the volunteer list in Excel."
- Student-office job: "Scheduled 120 advising appointments a semester in Google Calendar and sent every reminder email myself."
- Customer service desk: "Resolved about 60 billing calls a day and logged each one in Zendesk before taking the next."
According to BLS, high school graduates who are comfortable with word processing and spreadsheet programs typically qualify for entry-level positions. You can prove that comfort by earning the Microsoft Office Specialist: Excel Associate (Microsoft 365 Apps) credential (exam MO-210).
The administrative assistant resume guide shows how to present short-term and volunteer work so it reads as experience.

Common Administrative Assistant Cover Letter Mistakes
Mailing the Same Letter to a Clinic and a Law Firm
A front office, a courtroom calendar and a school registrar need different things. If you can swap the employer's name and nothing else changes, the reader sees that right away.
Quick fix: mention one system, task or deadline pattern that only this kind of office has.
Retelling the Resume in Paragraph Form
Spend the letter on the one story the resume has no room for.
Weak: "At my last job I answered phones, filed documents and scheduled appointments."
Strong: "I moved our supply orders to a shared request form, and rush orders dropped from about ten a month to two."
Leaning on Organized and Detail-Oriented
Every applicant claims these, so they carry no weight. Name the process that proves it instead.
Weak: "I am a detail-oriented multitasker."
Strong: "I confirm every new vendor's tax form before the first payment, and no payment has been held for paperwork this year."
Writing a Letter That Needs Two Pages
Keep to 200 to 300 words, and cut the paragraph you like best if it repeats the resume.
Quoting Typing Speed Without Accuracy
"75 words per minute" says little when errors undo the speed. Pair the rate with an accuracy figure, such as 99% on 500-record batches.
Overstating Your Place in the Office
Writing that you "managed the office" when you covered it for a month is easy to catch on a reference call. AI tools that invent experience make this worse, because the polished claims aren't yours. Upplai works only from the facts in your resume and lets you edit the letter yourself or with AI before you download it, so the letter says what's true.
Write a Matching Cover Letter Faster
Say you're applying to a dental clinic, a school district and a law firm this week. Each wants a different letter, and writing three from scratch eats an evening. Upplai's cover letter generator reads your resume and the posting, then drafts a tailored letter in under 10 seconds. It leads with your strongest pitch for that role and never invents experience.
The letter arrives in the same template and styling as your resume, so the pair looks like one application. Change any line yourself, or ask the AI for a revision, before downloading. Applications sent with a cover letter land interviews at 1.9X the rate of those sent without one. The Free plan covers three tailored resumes with matching letters, and no credit card is needed.
